Time Log Tip

Keep a daily journal of AmeriCorps hours served each day.

It wil make the time log entries easier!l

Time Log Rules

1. Time logs are required for each month of service for which you are active, even if you have already reached the minimum hour requirement for your term of service.

2. Service Logs are required. We should have a service log for each month of service you have completed on BWBRS or hard copies. Time logs without service logs will not be counted each month.

3. Cannot log more than 18 hours in any one day.

4. If using paper forms, no photocopies, no faxes, no copies are accepted.

5. All signatures must be original and in ink for paper logs (preferably blue or black).  If you can erase it, we will send it back.

6. All corrections must be initialed and dated by the author.

7. If enrolled prior to 07/31/09, fundraising hours must be documented and they must meet the eligibility criteria for allowable fundraising: funds used to support a specific service or project. 

Fundraising activities that support operational expenses cannot be counted. If we cannot trace where every cent of funds raised will be spent; we cannot credit the hours.

If enrolled after 07/31/09, no fundraising hours will be credited.

8. Training and Enrichment (T&E) hours must be documented—what type? What topic? Undocumented hours will be not credited.

9. We will not credit hours entered after the signature dates.

10. Hours are to be signed and dated by the member and site supervisor no less than 30 days after the end of the reporting period (on a monthly basis).

11. If using paper forms and you have two distinct AmeriCorps positions, you must submit hours for each position separately each month.

If CNVS AEAP sends back hours

arrow bullet point Return to CNVS on the due date given.

Members seeking to submit hours signed after the reporting period has closed

CNVS AEAP will review requests on a case-by-case basis and subject to the following conditions:

arrow bullet point The member must still be active at the service site.

arrow bullet point We will only accept edit for hours up to 6 months back from receipt of request.

arrow bullet point CNVS AEAP may request alternate documentation to verify hours served.

arrow bullet point If counting hours for activities the member did not realize could be counted, the member needs to include a detailed description of these activities.

arrow bullet point Member must submit justification and corrective action in writing. 

CNVS has the right to deny requests that do not meet the conditions above, or if the request seems unreasonable given the member's position description.

Members may also be subject to disciplinary action including and up to dismissal, in accordance with the Member Service Contract. Programs may also be subject to compliance monitoring and corrective action plans.

Members need to submit the following information in writing along with the time logs to AmeriCorps Program Directors:

arrow bullet point Name of Member, Volunteer Program, Service Site, Program Year.

arrow bullet point Name and contact information for Site Supervisor.

arrow bullet point Description of hours to be edited, reason for change, including description of omitted activities if applicable, and/or if hours signed late, how you plan to improve.

arrow bullet point Letter from site supervisor on service site letterhead confirming hours served for the period (must be specific).

For hour editing in BWBRS, Program Directors should follow these instructions.

AmeriCorps Program Directors will review and forward this information to CNVS AEAP for final approval.
